Position Summary

Under the direction of the Manager, the Talent Acquisition Specialist is a specialized role with a focus on volunteer recruitment and building community partnerships. This position is responsible for managing volunteer vacancies with a long term perspective focusing on building volunteer talent pipelines, building and nurturing relationships with community organizations, and contributing to volunteer workforce planning. This position works closely with program managers across the organization.

Key Objectives of this role

• Ensure volunteer needs of assigned portfolio are met with a long-term strategy in mind.
• Provide input to ensure volunteer positions are filled by diverse, qualified, and engaged volunteers.
• Works collaboratively with colleagues to ensure volunteer needs of St.Amant programs are met.
• Work collaboratively with internal and external stakeholders to devise and implement sourcing strategies, such as branding initiatives, to build pipelines for volunteer applicants
• Meet regularly with program managers to assess volunteer hiring/recruitment effectiveness, making adjustments as needed in order to reduce vacancies (<10%), and increase retention of new volunteer hires.
• Create and implement end-to-end volunteer recruitment processes to ensure a positive experience for volunteer candidates.
• Form close relationships with program managers to ensure clear expectations for volunteer candidates and those who will be supported by volunteers.

Qualifications


Education, Experience and Occupational Certification:

• Post-secondary education, with a focus on volunteer management, business and/or human resources is a strong asset; work experience in recruiting is critical and can be in place of education.
• Three (3) plus year’s recruitment experience and preferably a combination of recruitment and education.
• Proven ability to build relationships across the organization.
• Experience with internal and external volunteer recruitment processes and databases.
• Proficiency with social media, resume (CV) databases, and professional networks.
• Experience in using social media to proactively source volunteer candidates.
• Proficiency in documenting processes and keeping up with industry trends.
• Excellent interpersonal and communication skills.
• Experience in a unionized environment is an asset.
• Experience supporting youth, newcomers, and/or people with developmental disabilities is an asset

Professional:

• Excellent organizational skills to manage high volume recruitment activities.
• Ability to conduct different types of interviews – structured, competency-based, etc.
• Hands on experience with various selection processes – video interviewing, phone interviews, reference checks, etc.
• Familiarity with volunteer management databases and information systems, such as Better Impact.
• General understanding of human resources-related legislation, HR policies and Collective Bargaining Agreements (CBA).
• Excellent data entry accuracy and attention to detail.
• Ability to compile and analyze trends.
• Excellent communication and interpersonal skills.
• Excellent decision-making skills.
• Bilingual in both French and English is considered an asset.

Key Responsibilities
• Matches volunteers to a volunteer position using volunteer position descriptions and volunteer candidate interviews to match the best suited candidate for available positions.
oLeads external recruitment efforts, sourcing volunteer candidates from online channels and personal/organizational networks.
o Conducts initial screenings, assessments, and reference checks for volunteer candidates; assesses knowledge skills and abilities
• Builds and maintains internal partnerships and relationships.
• Collaborates with program managers to create volunteer position postings to address program needs for support.
• Collaborates with program managers and people supported to understand volunteer recruitment needs; develops talent strategies with programs, which includes creating volunteer position descriptions and interview questions that reflect the requirements for each position.
• Identifies and partners with external resources and organizations as required to ensure volunteer hiring needs are met.
• Posts externally on appropriate volunteer opportunity boards/colleges/other organizations to target specific markets and or candidates within a given market; maintains applicant-tracking system.
• Designs and maintains interview questions, and works with Communications to develop social media campaigns.
• Attracts volunteer candidates through databases, online volunteer forums, and social media, etc. to fill vacancies.
• Participates in volunteer and paid career/job fairs and recruitment events to build a strong pipeline; creates event materials in collaboration with Communications.
• Administrative:
o Ensures volunteer files are up-to-date;
o Completes new volunteer hire paperwork, creates volunteer files, and updates files as needed. Adds new volunteer hire profile to the appropriate volunteer information system
database.
• Prepares reports on volunteer recruitment activity for managers, summarizing recruitment efforts, trends, challenges and solutions. Provides recruitment reports and statistics on key performance indicators (KPI’s) such as but not limited to time to fill.
• Supports summer staff as directed by the Manager, Volunteer Services & Community Connections
• Organizes and facilitates in-person/online orientations
• Assists in the arrangement and execution of suitable volunteer recognition initiatives
• Identifies and supports opportunities for grant funding applications
• Promotes St.Amant’s culture, reputation and attractiveness as a top employer.
• Updates the volunteer information system database, and volunteer files to reflect transfers,
reassignments, updates, etc.
• Participates in service-level strategic planning and individual/personal plans in collaboration with programs and people supported
• Other duties as assigned.

Working Conditions

• The Volunteer Services department is a fast-paced environment filling with a considerable amount of multi-tasking, requiring extreme attention to detail.
• Considerable multi-tasking is required.
• Working hours can be irregular and extended due to meetings, special events, and career/job fairs.
• High level of responsibility for accuracy of work.
